Member Fall Visit instructions and protocols

As part of our ongoing maintenance program, we have scheduled our seasonal visits. Your responsibilities during this visits includes turning off all outside water sources and properly drain/blow out system, conducting a visual inspection of all plumbing within and underneath the building, labeling all main water valves, providing a detailed quote for any plumbing issues identified during the visit, and documenting your findings with notes and photographs inside notes under inside this visit. 

Preparation and Safety:
  • Ensure you have all the necessary tools and equipment for the inspection.
    • Allen keys, screw drivers, pliers, air hose, compressor, blow out hose system, Black parts bag, label maker, gas detector. Hose caps, brass plugs. 
  • Follow safety guidelines and use personal protective equipment as required.

Turning Off Outside Water Sources:
  • Identify and locate all outside water sources such as hose bibs, outside shower(s), sinks, toilets, ice makers, washers and taps 
  • Turn off all outside water sources to prevent freezing and damage during the winter season.
  • Connect compressor line to blow out system and blow out all outside waters 
    • Leaving air on, walk around the building opening each outside fixture allowing all water to be blown out. Once water is not present, shut the fixture and move to the next fixture in line. 
    • After all fixtures have been blown out, remove air hose from blow out connection, closing boiler drain and installing/replacing caps
    • Walk around building opening all fixtures
    • All outside showers cartridges are to be removed. Outside shower parts are to be placed in supplied bag and stored at outside shut of location 
    • All ice makers' solenoid valves are to be disconnected from the unit and shake dry. Solenoid valve is to remain plugged in and left inside the unit. 
    • Any and all outside sink, shower (if present) dishwasher, washer, and toilet trap is to be filled with anit-freeze. 

Visual Inspection:
  • Carefully inspect all visible plumbing fixtures, pipes, and connections within the building.
  • Examine all plumbing under sinks, around toilets, and in utility areas.
  • Look for signs of leaks, corrosion, damage, or any other plumbing issues.
  • Check all gas appliances using gas detector on all gas appliances

Labeling Main Water Valves:
  • Clearly label and mark all main water valves, including emergency shut-off valves.
  • Make sure the labels are legible and easily visible for future reference.

Documentation:
  • Take clear and high-quality photographs of any plumbing issues discovered during the inspection.
  • Maintain detailed notes on the location and nature of each issue.

Quote Preparation:
  • Based on your findings, provide a detailed quote for each plumbing issue identified.
  • Mark all items on quote as optional
    • Mark item as recommended if issue shall be addressed immediately
  • Things to keep an eye out for: 
    • Tankless water heater - Treatment/ flush should be serviced once a year. Are we offering this to our customers?
    • Main house shut off valve is not at a easy accessible location 
      • Provide option to install new valve at an easier location 
      • Provide option for Moen Leak Detector 
    • Remember to add 5% discount to quote for members 
      • Scroll down to bottom of page and click on Discount
  • Click on Percent (%) and input 5
  • Click Green “Save Discount” 

Completion Report:
  • Summarize your findings and actions taken in a comprehensive report attached to visit under Job Forms “Fall Season Service Checklist”
  • Click on Job Forms .
  • Fill out all answers with as much clear detail as possible.  
    • Customers will receive this report via email after completion. 
    • We will also use these forms to help better serve our members for future visits 
  • Include photographs with captions and reference them in the report.

Please ensure that your visit is conducted thoroughly, efficiently and professionally. If you encounter any issues that require immediate attention, contact the property owner or manager for further instructions. Provide quotes to customers regarding the immediate work to be completed. Once approved, contact the office for scheduling and assigning.
